Client Services’ & Special Events Supervisor

Viking Gymnastics & Dance currently has an opening for a full-time Client Services’ & Special Events Supervisor position that will be responsible for managing the registration desk. This position entails working with both children and adults in a fun, friendly environment while managing the Client Services/Reception personnel.

Job Summary

The Client Services’ & Special Events Supervisor requires a friendly and helpful demeanor that is willing to provide premiere service for clients, contractors, vendors and any other individual who enters the building. The Supervisor must make sure the registration desk is promptly greeting clients, answering phone calls, offering assistance, using professional verbiage, and making themselves available for the convenience of the client. It is the responsibility of the Supervisor to provide an exceptional level of service while at the same time upholding and enforcing the rules and regulations of Viking Gymnastics & Dance. Job Responsibilities:

  • As an integral part of the team, our Client Services/Special Events Supervisor will develop, direct and lead our Client Services/Reception personnel as well as interact with our students, parents and guests. The supervisor will:
  • Create and manage the schedules for the Client Services/Reception personnel (1-10 employees), Kid’s Night Out and Birthday Parties staff
  • Monitor the appearance, standards, and performance of the Client Services/Reception personnel with an emphasis on training and teamwork
  • Provide front desk training and hold Client Services/Reception personnel accountable for executing desired procedures and behaviors
  • Demonstrate sound judgment, professionalism and optimism while directing the work of the Client Services/Reception personnel
  • Inspire a sense of community and provide personal attention to our guests and staff
  • Coach and counsel Client Services/Reception personnel as needed
  • Welcome individuals who enter the facility in a warm and pleasant manner
  • Assist with registration, payment processing, and scheduling gym services
  • Consistently strive to create a lasting first impression
  • Handle concerns, address questions and resolve issues appropriately
  • Maintain cleanliness of front desk areas to contribute to an exceptional facility experience
  • Advise management when a maintenance issue is reported
  • Implement Standard Operating Procedures and ensure constant delivery of service
  • Assist with inventory of product and supplies
  • Assign duties, monitor work, and investigate complaints regarding reception service and follows up
  • Oversee special events that include Birthday Parties, Kid’s Night Out, Field Trips and any additional events
  • Acts as Manager on Duty when necessary
  • Assist and report to the Office Manager

Education and Experience

  • B.A. from four-year College or university
  • Have at least 2 years of supervisory experience in a private gym/club or hospitality environment
  • Have 4 years of Customer Service experience

Job Requirements:

  • Previous experience managing others
  • Must be proficient in: G-Suite, MS Word, Excel, PowerPoint and Social Media
  • Strong written and verbal communication skills
  • Excellent leadership skills
  • Calm under pressure
  • Dependable, accountable and responsible
  • Friendly and outgoing personality
  • Excellent phone manners and correspondence skills
  • Ability to multi-task and attentive to details
  • Schedule will be a mix of days, evenings and weekend shifts.
